TERMS OF SERVICE

1. GENERAL TERMS AND CONDITIONS FOR ALL PATIENTS

1.1 These terms and conditions form the basis of the agreement between the patient (you/your) and Karwal Aesthetics (us/our).

1.2 Please read these terms and our privacy policy carefully and take the opportunity to ask us questions.

1.3 By registering with us, you agree to be bound by these terms.

2. APPOINTMENTS, DEPOSITS AND CANCELLATIONS

2.1 Booking Deposits

A £100 booking deposit is required for all appointments. This is redeemable from the treatment cost, however in the event of no treatment, Karwal Aesthetics will not refund the deposit as this will be used as consultation fee.

In the event of a no-show or when there is less than 72 hours notice of appointment cancellation or change, Karwal Aesthetics reserves the right to withhold your deposit.

2.2 Cancellation Policy

We kindly ask for a minimum of 72 hours notice when changing or cancelling appointments. We send appointment reminders via text and email 72 hours before your appointment date, so please inform us of any appointment changes as soon as possible.

Failure to give more than 72 hours notice for an appointment change or cancellation may result in your £100 deposit being used as a cancellation fee.

2.3 We will not reserve or guarantee any particular date and/or particular time which you request for any consultation or treatment unless you book an appointment for that time and date.

2.4 If you know you are going to be late for an appointment, you should contact us to tell us. If you arrive later than 15 minutes after an appointment time, we will try to provide the service you have booked, but if we decide that we cannot, the appointment will be treated as cancelled without notice by you and your deposit will be lost. Karwal Aesthetics has no obligation to rebook on the same day or refund any money.

2.5 You may reschedule an appointment without charge if you give us at least 72 hours prior notice of the reschedule.

2.6 If you cancel an appointment, your deposit is non-refundable.

2.7 If due to exceptional circumstances not limited to illness, accidents and bereavement, you reschedule an appointment without giving us at least 72 hours prior notice, we will consider the circumstances and at our discretion decide whether to waive any charge for late cancellation.

2.8 We may cancel an appointment booked by you at any time before the time and date of that appointment in the following circumstances:

2.8.1 The required practitioner and/or materials necessary for the provision of the consultation or treatment are not available; or

2.8.2 There is an event outside of our reasonable control. If we cancel an appointment in such circumstances, we will refund you in full any deposit or other advance payment you have made. Refunds will not however be given for any other expenses you may incur such as travel costs, accommodation or loss of earnings.

2.8.3 We will use all reasonable endeavours to start the consultation or treatment at the appointment time you have booked, but the start may be delayed by the overrun of a previous appointment or by other circumstances. If a delay to the start is at least 30 minutes, you may reschedule the appointment.

2.9 Deposits may not be applied toward product purchases.

3. TREATMENT RESULTS

3.1 To achieve the best possible outcome for our patients, Karwal Aesthetics will endeavour to discuss all suitable treatment options (including no treatment), fees, duration of results, risks and side effects. We encourage our patients to be involved during the consultation process as much as possible in order to understand cosmetic concerns and expectations. We will guide but never enforce treatment on the day and ensure that you are fully informed throughout the process. Completion of verbal, written and photographic consent are mandatory before commencing treatment. However, Karwal Aesthetics reserves the right to refuse treatment if a patient is deemed to be unsuitable, unprofessional, defamatory, rude or abusive to any member of staff, or if the treatment is not in their best interests clinically or psychologically.

3.2 Dr Karwal will discuss treatment expectations with you at the consultation, and will strive to achieve the best result for you. Treatment results and duration of time may vary between individuals, with no guarantee of a desired result or duration of result. This is due to multiple factors, including face structure, skin type, pre-existing asymmetry, lifestyle factors and individual biological metabolism.

4. REFUNDS

4.1 Every effort will be made to ensure you have the best possible outcome but as with all medical procedures there can be a spectrum of results. As individuals differ in their responses to and the outcome of the treatment, no clinical or financial guarantees can be given.

4.2 Treatment fees cannot be refunded in the case of a sub-optimal result including no result, or complications including allergic reactions, as all fees paid are related entirely to the services provided, i.e. professional time, expertise, product costs and other costs incurred in providing the treatment, and those costs are incurred irrespectively of the results achieved. No additional costs may occur should threatening complications arise from the treatment and dissolving is required. Karwal Aesthetics Clinic will not provide refunds on treatments that have been provided in good faith or refunds on treatments if the patient has had an adverse reaction to treatment.

4.3 No refunds will be provided for treatments that have already been performed. Due to variations in individual anatomy and bodily responses, we cannot guarantee specific results. Tyndall effect and persistent pinkness or redness are not complications; they are individual bodily responses that we cannot predict or control.

4.4 If you need to cancel your appointment, we require a minimum of 72 hours notice. Cancellations made within this timeframe may be eligible for a refund of your deposit. To request a refund, please email contact@karwalaesthetics.com. Alternatively, your deposit can be held on your account and applied to a future appointment.

5. PRODUCT REFUNDS

5.1 Products purchased in the clinic or over the phone are non-refundable unless they are faulty.

5.2 Faulty products will need to be returned to the clinic for an assessment before a refund can be processed.

6. RISK OF CLINICAL COMPLICATIONS

6.1 The health and safety of our patients is at the heart of all we do and while we will do our very best to ensure a satisfactory outcome, no clinical procedure is entirely risk-free and the results of any particular procedure cannot be guaranteed.

6.2 Although rare, some procedures have well documented complications and these together with your personal risk will be discussed during your consultation and documented in the patient information leaflet and consent form.

6.3 Many complications can be managed simply and conservatively and we will treat these to the best of our abilities and knowledge. However, in the unlikely event of a complication being more serious and you needing further treatment outside of our expertise, arrangements will be made for you to be treated in the NHS, or if you wish, privately at your own cost. Please be advised that private medical insurance may not cover complications arising from aesthetic treatments.

7. EQUIPMENT SAFETY

Your safety comes first. If at any time we discover, or have concerns, that any of our equipment or machines are not in proper, working condition, we will ask you to reschedule your appointment and thank you for your understanding.

8. DOCUMENTS AND RECORDS

8.1 All patients must complete a booking form and provide contact details including full name, date of birth, address, telephone numbers and email address when booking an appointment.

8.2 All patients must complete a medical questionnaire at their first appointment, which is required for the consultation and treatment planning. This form will also be sent to you via email ahead of your appointment.

8.3 All patients will be asked to review and/or update their medical questionnaire at each appointment and will be asked to sign to confirm that their details remain accurate.

8.4 All patients will be asked to sign a consent form prior to any treatment. You have the right to change your mind to treatment at any time, even after you have signed the consent form.

8.5 We will keep records and case documents for each patient registered with us.

8.6 You have the right to request a copy of any documents which we may hold in relation to your care, which we shall provide if given an equitable reason.

8.7 Non-disclosure of any medical conditions, treatments past, present or future will waive and discharge Karwal Aesthetics, its board, officers, independent contractors, affiliates, employees, representatives, successors and assigns from any and all liabilities, claims, demands, actions and causes of action whatsoever, directly or indirectly arising out of or related to any loss, damage, injury or death that may be sustained by you while on our premises.

9. LIMITATION OF LIABILITY

9.1 Karwal Aesthetics will not be liable in contract, tort or otherwise for any economic loss (including, without limitation, loss of profit) or for any other special, indirect or consequential loss or damage arising out of, or in connection with, its provision of any services and/or goods to the patient.

9.2 It is the patient's responsibility to ensure that he or she provides Karwal Aesthetics with all the relevant medical details prior to each treatment. Karwal Aesthetics will not be liable for any damage that occurs as a result of the patient's failure to disclose such details.

9.3 The patient agrees to comply with all instructions and/or recommendations given to them, or on behalf of Dr Karwal's Karwal Aesthetics, regarding their aftercare. Nothing in these Terms and Conditions shall exclude or limit Karwal Aesthetics’ liability for death or personal injury as a result of our breach of these Terms and Conditions or as a result of our negligence.

10. SOCIAL MEDIA CONSENT

10.1 Upon you the client signing consent for your image to be used for promotional and social media use, you grant Karwal Aesthetics and its designees the right in perpetuity to use your name, likeness, image, voice, appearance and performance as embodied in the product whether recorded on or transferred to video files, photographs, audio tapes or other media, now known or later developed.

11. BOTULINUM TOXIN TOP UP/REVIEWS

11.1 Routine review appointments are offered after treatment with Botulinum Toxin as a courtesy. At this review you may be offered a complimentary additional treatment or ‘top up’ if it is clinically required.

11.2 Complimentary ‘top-up’ treatments must be taken 2–3 weeks after the initial treatment. If you are unable to attend the review appointment within this time period, no additional complimentary treatment or ‘top-up’ will be provided.

11.3 Only one free of charge ‘top-up’ will be provided.

12. DERMAL FILLER TOP UPS / REVIEWS

12.1 Dermal filler top ups are chargeable.

12.2 One single free of charge ‘top-up’ is provided for non-surgical rhinoplasty treatments only, within 2–3 weeks after the initial treatment, if required.

12.3 Follow-up appointments after dermal filler treatments can be offered if you would like Dr Karwal to check up on the treatment result.

12.4 Karwal Aesthetics likes to keep in touch with all our patients. Please contact us to arrange a follow-up appointment after treatment if you wish, or book a Review appointment via our website. If you fail to attend your follow-up, another appointment will not be offered.

13. FEES AND PAYMENT

13.1 You must pay in accordance with our price list for all services on completion of those that we have provided to you.

13.2 You may pay us for services using any of the following methods: credit or debit card (excluding Amex), cash, gift voucher, or bank transfer.

13.3 We may alter our prices without prior notice, but if the price of any services increases between the time you book an appointment and the date of the appointment, the price increase for those services will not apply to your appointment.

13.4 Please note we never hold credit card information on file and will never ask you to reveal them to us. They will not be stored at the Karwal Aesthetics clinic.

13.5 Any email or text message discount offers that you may have received will be applied as long as used according to the offer instructions.

14. GIFT VOUCHERS

14.1 Gift vouchers are available on our website.

14.2 Gift vouchers are valid for the time period specified on the gift voucher email.

14.3 Gift vouchers may be redeemed only for treatments which we provide at the clinic and may not be redeemed partly or wholly for cash.

14.4 Gift vouchers can only be used by the recipient or purchaser of the voucher.

15. LOYALTY CARDS

15.1 Loyalty cards are available in our Mayfair clinic.

15.2 Loyalty cards and reward stamps are only given after a Botulinum Toxin treatment.

15.3 Singular or multiple rewards cards cannot be shared or swapped between clients. Nor can you obtain any other person’s stamp from their treatment.

15.4 Rewards stamps are not issued for top-up and review appointments or any other treatment.

15.5 Rewards stamps can only be collected on full price treatments.

15.6 The completed rewards card discount cannot be redeemed or used in conjunction with any other offers, promotions or discounts, including our combination treatment discounts.

15.7 You must bring your rewards card on the day of treatment to be issued the rewards stamp. The rewards stamp cannot be claimed retrospectively.

15.8 It is one stamp per day, regardless of how many treatments you have. You cannot break up your treatments into separate transactions in an attempt to claim additional reward stamps.

15.9 The discount reward can only be used against the Botulinum Toxin treatment of the individual to whom the rewards card belongs.

15.10 If you lose your rewards card or deem it stolen, we reserve the right not to issue a replacement.

16. ELIGIBILITY FOR TREATMENT

16.1 We will not provide treatment to you if, following your consultation, we believe that the treatment is not suitable for you or is not likely to be successful, as individuals differ in their responses to and the outcome of treatment.

16.2 We will not provide treatments to you if you are aged under 18. We may require evidence of your age for that purpose.

16.3 We will not provide treatments to you if you are pregnant, think you may be pregnant, or are currently breastfeeding. We will not provide certain treatments to you if you have a medical condition or are taking medication that may make that treatment unsuitable for you.

16.4 We will not undertake any treatment or procedure that is in conflict with any law in force, any voluntary or mandatory code of practice, or any similar rules, regulations or codes.

17. TREATMENT PACKAGES

17.1 All treatments purchased as a package must be paid in full in advance or at the time of your first treatment.

17.2 All packages of treatments are non-refundable and non-transferable.

17.3 If you are unable to complete the course of treatment due to a severe or terminal medical condition, we will refund you the balance. The refund will be calculated by deducting the full list price of all treatments already taken from the total price of the course, and the difference will be returned to you.

17.4 We do not offer a refund or transfer of payment in the event of short-term or temporary side effects such as reddening, bruising, swelling, mild burning, blistering or hypo/hyperpigmentation, as well as very rare side effects such as scarring and permanent discolouration.

17.5 The cost of a single treatment is more expensive than the cost of a package of treatments.

18. REFERRAL PROGRAMME

Karwal Aesthetics is pleased to offer a referral programme to our valued patients. When you refer a friend or loved one to our aesthetics services, you both can enjoy £30 off your next treatment. New referrals only. To qualify, your friend must mention your name when booking their appointment. Both you and your friend will receive £30 off your next appointment.

19. MODEL TREATMENTS

You can apply for a model treatment via our Become a Model page, located in the footer of our website, or by emailing contact@karwalaesthetics.com with your full name, date of birth, telephone number and three clear photographs of your face (one frontal, two profile). Please also let us know which area or treatment you are enquiring about. Dr Karwal will review your photographs and respond with personalised medical feedback on suitable treatments, procedure details, pricing and before and after images of comparable cases.

To apply, you must be over the age of 18. Karwal Aesthetics reserves the right to decline a model treatment application if we determine that the desired treatment is not clinically suitable.

By applying, you consent to Karwal Aesthetics using photographs and video content taken during your appointment for educational and promotional purposes, including on our website and social media channels.

If selected, you will be required to pay a £100 deposit at the time of booking. Please note that this deposit is not deducted from your treatment cost. Our standard cancellation policy applies in full.

20. COMPLAINTS AND COMPLIMENTS

Dr Karwal prides himself on having many happy patients and has built his patient base predominantly from recommendations and referrals.

If you are pleased with your treatment, we would love to hear about it. If we have not quite met your expectations, please allow us the opportunity to review the results and discuss this with you.

If you still feel the issue has not been resolved and wish to make a formal complaint, please contact our clinic coordinator in writing by emailing karina@karwalaesthetics.com with the subject heading ‘Formal Complaint’. We aim to acknowledge all written complaints within 5 working days.

21. FEEDBACK

All feedback is appreciated, both positive and negative. Feedback is used to review and improve the quality of service. You may submit your feedback verbally, in writing, via email, on social media or via the clinic website.

22. CHANGES TO TERMS AND CONDITIONS

We may from time to time change these Terms and Conditions without notice, but an up-to-date version will always be available on our website.

23. NO WAIVER

No failure or delay by us or you in exercising any rights under these Terms and Conditions means that we or you have waived that right, and no waiver by us or you of a breach of any provision of these Terms and Conditions means that we or you will waive any subsequent breach of the same or any other provision.

24. HOW WE USE YOUR PERSONAL INFORMATION (DATA PROTECTION)

24.1 All personal information that we may use will be collected, processed and held in accordance with the provisions of UK GDPR and the Data Protection Act 2018, and your rights under those provisions.

24.2 For complete details of our collection, processing, storage and retention of personal data, including the purpose or purposes for which personal data is used, the legal basis for using it, details of your rights and how to exercise them, and personal data sharing where applicable, please refer to our Privacy Policy at karwalaesthetics.com/privacy-policy.

25. LAW AND JURISDICTION

25.1 These Terms and Conditions, and the relationship between you and us (whether contractual or otherwise) shall be governed by, and construed in accordance with, the law of England and Wales.

25.2 Any dispute, controversy, proceedings or claim between you and us relating to these Terms and Conditions, or the relationship between you and us, shall be subject to the exclusive jurisdiction of the courts of England and Wales.

26. ENTIRE AGREEMENT

26.1 These Terms and Conditions constitute the entire agreement between the parties and supersede and extinguish all previous agreements, promises, assurances, warranties, representations and understandings between them, whether written or oral, relating to its subject matter.

26.2 Each party acknowledges that in entering into these Terms and Conditions it does not rely on and shall have no remedies in respect of any statement, representation, assurance or warranty (whether made innocently or negligently) that is not set out in these Terms and Conditions.

27. THIRD PARTY RIGHTS

27.1 These Terms and Conditions do not give rise to any rights under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of the agreement.

28. ENDOLIFT®

28.1 Eligibility

28.1.1 Endolift® treatments are available to clients aged 18 and over.

28.1.2 All clients must complete a medical consultation with Dr Karwal to determine suitability for Endolift®.

28.1.3 Karwal Aesthetics reserves the right to decline treatment if it is deemed unsuitable or unsafe for the client.

28.2 Booking and Deposits

28.2.1 All Endolift® appointments require a consultation and a £100 deposit, redeemable against the treatment cost if booked.

28.2.2 Deposits are non-refundable and serve as a consultation fee if no treatment is undertaken.

28.2.3 Appointments can be booked online, by phone or in person. Changes or cancellations must be made at least 72 hours in advance to avoid forfeiture of the deposit.

28.3 Consent and Medical Disclosure

28.3.1 Clients must provide accurate and complete medical history prior to treatment.

28.3.2 Written informed consent is required before any Endolift® procedure.

28.3.3 Clients must disclose any allergies, medications or medical conditions that could affect treatment.

28.4 Treatment Risks and Expectations

28.4.1 Endolift® is a minimally invasive procedure, but as with all medical treatments carries risks including swelling, bruising, discomfort, temporary numbness or rare complications.

28.4.2 Results may vary between individuals. No guarantee is made regarding the outcome, longevity or effectiveness of the treatment.

28.4.3 Clients are responsible for following all pre- and post-treatment instructions provided by Karwal Aesthetics.

28.4.4 Endolift® is a very safe procedure with a low risk profile. A detailed list of possible risks, side effects and complications is available in your consent form. A rare but important complication is nerve bruising, specifically to the marginal mandibular nerve located in the lower face on either side of the lip angles. In a very small number of cases, this nerve can become irritated from laser heat, causing temporary lip asymmetry on the affected side. Some patients may be given a short course of oral steroid and vitamin B tablets to help speed up recovery. This is a temporary complication that usually resolves between 8 and 10 weeks. To minimise this risk, treatment close to the mouth angles is avoided.

28.5 Aftercare and Follow-Up

28.5.1 Detailed aftercare instructions will be provided and are available at karwalaesthetics.com/aftercare.

28.5.2 Follow-up appointments may be recommended to monitor progress and results.

28.5.3 Clients are expected to attend scheduled follow-ups and contact the clinic with any concerns.

28.6 Payment and Financing

28.6.1 Full payment is required on the day of treatment unless otherwise agreed.

28.6.2 0% financing options may be available for qualifying treatments through Plim (minimum spend applies).

28.6.3 All prices are subject to change and will be confirmed at the time of booking.

28.7 Results, Photography and Confidentiality

28.7.1 Before and after photographs may be taken for medical records and, with your written consent, may be used for educational or promotional purposes.

28.7.2 Client confidentiality is maintained at all times in accordance with UK GDPR and our clinic privacy policy.

28.8 Limitation of Liability

28.8.1 Karwal Aesthetics and its clinicians will not be liable for any loss or damages arising from failure to follow aftercare advice, undisclosed medical information, or adverse outcomes outside reasonable clinical control.

29. DERMAL FILLER DISSOLVING

29.1 Eligibility

29.1.1 Dermal filler dissolving treatments are available to clients aged 18 and over.

29.1.2 All clients must complete a medical consultation with Dr Karwal to determine suitability for filler dissolving procedures.

29.1.3 Karwal Aesthetics reserves the right to decline treatment if it is deemed unsuitable or unsafe for the client.

29.2 Booking and Deposits

29.2.1 All filler dissolving appointments require a consultation and a £100 deposit, redeemable against the treatment cost if booked.

29.2.2 Deposits are non-refundable and serve as a consultation fee if no treatment is undertaken.

29.2.3 Appointments can be booked online, by phone or in person. Changes or cancellations must be made at least 72 hours in advance to avoid forfeiture of the deposit.

29.3 Consent and Medical Disclosure

29.3.1 Clients must provide accurate and complete medical history prior to treatment, including details of previous filler treatments, brand of filler used, dates of injection and any adverse reactions.

29.3.2 Written informed consent is required before any filler dissolving procedure.

29.3.3 Clients must disclose any allergies (particularly to hyaluronidase), medications or medical conditions that could affect treatment.

29.4 Treatment Risks and Expectations

29.4.1 Filler dissolving involves the injection of hyaluronidase enzyme to break down hyaluronic acid-based dermal fillers.

29.4.2 Risks include swelling, bruising, redness, tenderness, allergic reaction, over-dissolution of natural hyaluronic acid, asymmetry and rare complications including vascular complications.

29.4.3 Results may vary between individuals depending on the type, amount and age of filler present. Multiple sessions may be required for complete dissolution.

29.4.4 No guarantee is made regarding the outcome, speed of dissolution or final aesthetic result.

29.4.5 Clients are responsible for following all pre- and post-treatment instructions provided by Karwal Aesthetics.

29.5 Ultrasound-Guided Filler Dissolving

29.5.1 Ultrasound-guided filler dissolving may be recommended in cases where filler location needs to be precisely identified, particularly in deeper tissue layers or when complications are suspected.

29.5.2 Ultrasound guidance allows for safer and more targeted treatment, reducing the risk of dissolving natural tissue or missing filler deposits.

29.5.3 Additional consultation and assessment fees may apply for ultrasound-guided procedures.

29.5.4 All risks associated with standard filler dissolving also apply to ultrasound-guided treatments.

29.6 Aftercare and Follow-Up

29.6.1 Detailed aftercare instructions will be provided and are available at karwalaesthetics.com/aftercare.

29.6.2 Follow-up appointments are strongly recommended to assess dissolution progress and may be required for additional treatment sessions.

29.6.3 Clients should contact the clinic immediately if they experience severe swelling, pain, skin changes or signs of allergic reaction.

29.7 Payment and Financing

29.7.1 Full payment is required on the day of treatment unless otherwise agreed.

29.7.2 The cost of ultrasound-guided filler dissolving may differ from standard filler dissolving and will be confirmed at the time of booking.

29.7.3 Multiple sessions may be required, each incurring separate charges.

29.7.4 All prices are subject to change and will be confirmed at the time of booking.

29.8 Results, Photography and Confidentiality

29.8.1 Before and after photographs may be taken for medical records and, with your written consent, may be used for educational or promotional purposes.

29.8.2 Ultrasound images may be captured as part of the assessment and treatment record.

29.8.3 Client confidentiality is maintained at all times in accordance with UK GDPR and our clinic privacy policy.

29.9 Limitation of Liability

29.9.1 Karwal Aesthetics and its clinicians will not be liable for any loss or damages arising from failure to follow aftercare advice, undisclosed medical information, incomplete medical history regarding previous filler treatments, or adverse outcomes outside reasonable clinical control.

29.9.2 Clients acknowledge that the dissolution process may affect both injected filler and naturally occurring hyaluronic acid in the treatment area.

30. CLINICAL JUDGEMENT, TREATMENT SUITABILITY AND RIGHT TO REFUSE TREATMENT

Karwal Aesthetics reserves the right to decline, postpone or discontinue treatment at any time. This includes but is not limited to situations where treatment is not suitable, not advisable or is unlikely to provide meaningful benefit; there are medical concerns, contraindications or safety risks; the patient is focused on correcting very minor or unnoticeable imperfections; the patient repeatedly seeks further treatment to perfect small details where additional treatment is unlikely to improve the overall result; the patient’s expectations are unrealistic or not in line with what can safely and predictably be achieved; or there are concerns about psychological suitability, including possible Body Dysmorphic Disorder or other mental health conditions that may be negatively affected by treatment.

As part of the consultation process, you may be asked about your expectations, how you feel about your appearance, and relevant medical and mental health history. Where there are concerns about psychological suitability or repeated requests for further treatment in the same area, the practitioner may decline or postpone treatment, recommend a cooling-off period before any further treatment is carried out, advise you to seek further assessment and support from your GP or a mental health professional, or refer you for a second opinion and decline to provide further aesthetic treatment until such assessment has taken place.

Non-surgical aesthetic treatments have limitations and results vary between individuals. No specific outcome can be guaranteed. By proceeding with treatment, you acknowledge that results may differ from reference photos or previous treatments, that small asymmetries and minor imperfections are normal in human faces and bodies, and that further treatment to perfect very small details may be declined where it is not in your best interests or unlikely to provide meaningful benefit.

Karwal Aesthetics also operates a zero-tolerance policy towards abusive, threatening, harassing or otherwise inappropriate behaviour towards staff or other patients. In such cases, treatment may be refused, appointments cancelled, and the patient may be banned from the clinic.
